Footnotes and endnotes

Footnotes and endnotes are also ways of inserting extra bits of information outside of the main text of your writing. Just think of them as verbal aside, in writing only. To add side comments to your work or to reference other sources such as books, posts, or blogs, you may use footnotes and endnotes. The only difference between footnotes and endnotes in your text is where they appear. Word also lets you select whether your footnotes and endnotes are numbered from a variety of choices to format. It is generally a good idea to choose a different numbering scheme for each form of note, particularly if you have a mix of footnotes and endnotes in the same text. This helps you and your reader quickly distinguish between the two at a glance.

As the name indicates, footnotes are attached to the bottom of the page which contains the sentence to which they correspond. In comparison, endnotes are attached to a segment or document end. Which one you should use in your writing depends on your personal preference or—if you’re writing for school or work.


You may cite references or describe a definition in depth without side-tracking the main text in the footnotes. Word makes it simple to handle footnotes, as new footnotes are automatically counted, and the footnote region expands and dynamically shrinks depending on the amount of text. Provide a professional feel to your text by creatively using footnotes to explain details and credit your sources. Following steps are needed to be followed in order to use footnotes in word properly.

Step 1: Click on reference tab

It’s situated at the top of the window, usually between “Mailings” and “Page Style.” This tab helps you to insert different reference resources, such as a table of contents, footnotes and endnotes, quotes, captions and more.

Step 2: Place cursor where you need the footnote to appear

By default, footnotes are marked by rising numbers of the superscript. Place the cursor where the number you want to appear is.

Step 3: Click on insert footnote option

It is in the “Notes” portion of the “Footnotes” page. It inserts the footnote number and adds a separator bar to the bottom of the page. This will automatically transfer your cursor to the footnote at the bottom of the page so that you can fill it out.

An endnote is like a footnote except that at the end of the text the reference is in. The endnotes are numbered by design with roman numerals I ii, iii, etc.).

Alternatively, to create a footnote you can press Ctrl + Alt + F, or Ctrl + Alt + D to create an endnote.

Step 4: Change where your footnote number resets

Your footnotes will by default increase in number in your entire text. You may adjust this so that the numbers in the document restart each page or breaks at section[1].

Tap on the Menu button in the “Footnotes” section at the bottom right corner. This opens the “Endnote and Footnote” slot. Using the “Numbering” drop-down menu in the “Format” section to pick when you want to restart the footnote numbers.

By clicking on the “Page Layout” tab, clicking on the “Breaks” button in the “Page Setup” section, you can insert section breaks into your document and then pick the type of break you would like to insert. Along with modifying the numbering of footnotes, section breaks are useful for changing the layout of different parts of a text.

Step 5: Change footnote formatting

If you want to have symbols instead of numbers, whether you want the footnotes to appear below the text instead of at the bottom of the page, or if you want the numbering to start at another number, you can alter this from the “Footnote and Endnote” window. To open it, press the Menu button in the right-hand corner of the section labelled “Footnotes.”

Change location of footnotes

By default, Word places footnotes at the bottom of the page and endnotes at the end of the text, but where those notes appear, you can alter.

Find the “Footnote” option under “Location” in the Footnote and Endnote menu (it should be selected by default when you open the menu first). Open the drop-down menu to the right of that option, and you can change the position of your footnote to either the bottom of the page or under the text. If you select the above choice, Word will place your footnotes at the bottom of the page immediately after the main body of text.

To change the default endnote position, select the “Endnotes” option, then open the drop-down menu to your right. There, you can alter the location of the endnote to the end of the current section or end of the text.
